Job Title: Executive Assistant Position Overview Our client is seeking an experienced Executive Assistant to support a senior executive within a fast-paced corporate environment. This role requires strong organizational skills, sound judgment, and the ability to manage multiple priorities while ensuring leaders are well-prepared for meetings and follow-up items are executed consistently. Key Responsibilities Provide dedicated administrative support to a senior executive Manage a complex and frequently changing calendar Coordinate domestic and international travel arrangements, including multi-segment itineraries Prepare and submit expense reports related to travel and meetings Support leadership and committee meetings through preparation of materials and documentation Capture meeting notes and maintain clear tracking of action items and deadlines Compile briefings and gather internal updates ahead of recurring leadership meetings Partner with internal stakeholders and other administrative staff to coordinate meeting readiness Monitor executive inbox at a triage level to identify scheduling needs and action items Provide occasional on-site support related to meetings or events Qualifications Prior experience coordinating international business travel Proven ability to manage executive-level calendars and competing priorities Strong attention to detail with dependable follow-through Professional maturity and accountability in a corporate environment Comfortable monitoring email for priorities and meeting requests Preferred Experience Background supporting senior leadership in a corporate setting Financial services or insurance industry exposure is a plus Determining compensation for this role (and others) at Vaco/Highspring depends upon a wide array of factors including but not limited to the individuals skill sets, experience and training, licensure and certifications, office location and other geographic considerations, as well as other business and organizational needs.
