The Opportunity The Executive Assistant will be a key member of the administrative support team, and will support the Chief Program Officer. This role is for a seasoned and experienced C-Suite Executive Assistant with high EQ and the ability to set priorities, collaborate with others, and professionally interface with a wide variety of internal and external stakeholders in a dynamic and growing global biotech company. Experience in supporting a C-Suite executive, and the Board of Directors as necessary, is strongly preferred.
What You Will Contribute - Possess exceptional professionalism, discretion and judgment, serving as a trusted liaison for the Avidity executives.
- Manage, prioritize and direct incoming business matters in a timely and efficient manner.
- Coordinate daily schedules, meeting coordination, agendas, and presentations.
- Provide support in meeting activities such as organizing, planning meetings (e.g., functional, project, and team meetings) and providing meeting minutes.
- Independently manage complex calendar & travel schedules (domestic and international).
- Collaborate with other Executive Assistants and their executives in supporting the Board of Directors and Board Committees, e.g. the Human Capital Management Committee and the Nominations and Corporate Governance Committee.
- Coordinate team schedules, travel arrangements, meeting logistics, onsite lunches, and group events as required.
- Prepare and produce various routine and ad-hoc reports of a standard to complex nature as assigned, utilizing independent judgment, analysis, and innovation regarding format layout. Ensure reports are distributed to all required individuals.
- Facilitate governance, group, and departmental meetings (attendance, agenda, meeting materials, minutes) in an evolving biotech environment.
- Create documents and presentations as required and complete and manage projects as assigned.
- On an ad hoc basis, provide lunch coverage and back-up support to the Front Office Coordinator.
- Work collaboratively with other Executive and Administrative Assistants to drive efficiency, share best practices and enhance administrative operations.
What We Seek: - More than 10 years' experience as an Executive Administrator supporting C-Suite executives at the highest organizational level - preferably the Chief Operating Officer or similar.
- Demonstrated track record of working to support executives, including highly sensitive and confidential matters.
- Preference to candidates with a bachelor's degree in business (or equivalent).
- Experience working with senior-level managers, internal and external stakeholders and the Board of Directors, exercising professionalism, discretion and confidentiality.
- Outstanding communication, organizational, and interpersonal skills; strong customer service.
- Ability to work on-site at our Headquarters in Torrey Pines 5 days per week .
- Proven experience with work that demands a high level of discretion and trustworthiness.
- Strong organizational skills with the ability to multi-task and meet deadlines.
- Attention to detail and great problem-solving skills.
- Can prioritize tasks and manage time effectively.
- Has a sense of urgency and proactively manages tasks and workloads; flexible, able to adapt/adjust with short notice.
- Capable of making good judgments, anticipating needs, and the ability to work independently.
- Maintain positive, professional relationships with personnel at all levels of the organization.
- Expert knowledge and proficiency with Smartsheet, Microsoft Outlook, Zoom, Word, Excel, PowerPoint, and MS Project preferred.

What We Will Provide to You: - The base salary range for this role is $128,250 - $141,750. The final compensation will be commensurate with relevant experience, skillset, internal equity, and market factors.
