Summary Public Health - King County Medic One (KCM1) is seeking a highly productive, detail-oriented,
Administrator II able to operate independently and effectively with modest direction and guidance. This position reports to the KCM1 Office Manager and plays an important role in supporting the KCM1 Leadership Team. Successful candidates will excel at managing and/or coordinating administrative projects and programs effectively while operating easily within a highly dynamic environment. Candidates will demonstrate a commitment to equity principles and possess strong communication and problem-solving skills. Ideal candidates will also demonstrate skills and experience in building strong, productive working relationships with internal and external customers, and providing exceptional customer service in these areas.
Primary responsibilities of the Administrator II position include coordinating oversight of the continuing education program for KCM1 paramedics to ensure completion of all Washington State Department of Health (DOH) and Ongoing Training Evaluation Program (OTEP) course requirements and successful paramedic recertification in a timely and efficient manner. In addition, the Administrator II is responsible for overseeing all KCM1 medical and administrative recordkeeping functions, including the proper processing of all medical record requests and subpoenas, and assurance KCM1 is following all required medical and administrative records retention schedules per King County and other governmental regulations. The Administrator II also compiles reports and conducts data analyses to ensure compliance with regulatory requirements and assesses financial discrepancies, year-over-year trends, and/or fiscal compliance with King County audit and/or administrative policies. Other responsibilities include the appropriate management of KCM1 fleet accounts and PCard purchasing processes in compliance with King County procurement rules and regulations. These duties require the ability to balance multiple tasks and goals, problem-solve in a timely manner, and quickly adapt to new situations while listening and communicating effectively.

Work Schedule Typical work schedule for this position is will 4/10 hour days with one day in office and the ability to telecommute. This is a Non-Exempt position and is subject to the provisions of the Fair Labor Standards Act and is overtime eligible.

Employees must reside in Washington state and within a reasonable distance to their King County worksite to respond to workplace reporting requirements.
Teleworking: Some of the work associated with this position will be performed through teleworking, and will report to office location and to meetings as needed. Travel to other work locations may be necessary. Employees will have access to shared workspaces at various King County facilities. Job Duties Applying
equity and social justice principles is a daily responsibility and a foundational expectation for all King County employees. In this role, the Administrator II will apply these principles to exemplify KCM1 shared values, behaviors, and practices in all aspects of the work. Administrator II duties include:
- Coordinate oversight of the continuing education program at KCM1 to ensure compliance with course requirements in accordance with the Washington State DOH and the Michael K. Copass Paramedic Training Program. This requires excellent understanding and continuous monitoring of both the Ongoing Training and Evaluation Program (OTEP) and Continuing Medical Education (CME) requirements to ensure successful recertification for approximately 85 KCM1 paramedics. Duties include meticulous tracking of all required continuing education hours, skills testing and academic coursework by the paramedics, coordination with the KCM1 Medical Program Director and Leadership Team to meet the expectations of high-quality paramedic continuing education standards, and generation of audit reports using the Vector Solution database to ensure paramedics meet all requirements in a timely manner and as expected.
- Oversee all KCM1 medical and administrative recordkeeping functions , including proper response to and processing of all medical record requests, inquiries and subpoenas in compliance with Washington State Protected Health Information regulations and federal Health Insurance Portability and Accountability Act (HIPAA) laws, rules, and regulations. Duties include coordination with KCM1 personnel providing deposition or testimony, compliance with all legal requirements regarding medical records protections, and collaboration with the King County Records Management to ensure appropriate interpretation and implementation of the policies and procedures.
- Collaborate regularly with the KCM1 Leadership Team/Medical Services Officers and Medical Program Director on ad hoc projects and studies by presenting trend analysis and/or summary reports for use in KCM1 operational decisions. Development and editing of new and/or existing policies and procedures may be required. Examples include outcomes for the Check the Dose study and trend analysis of the Whole Blood program.
- Conduct ongoing financial oversight and auditing activities , including iProcurement & PCard purchase review and approval in Oracle and SharePoint, and auditing of the controlled substance inventory monitoring and tracking per the federal requirements enforced by the DEA. This latter task requires handling of the reverse 222 forms for expired and damaged control drugs, precise accounting for the vial number, lot number, expiation, and organizing the shipment of the controlled drugs to a licensed company who handles the destruction of drugs per the DEA standards.
- Manage the KCM1 Voyager fueling account , including reporting on Voyager utilization, auditing monthly transactions and facilitating corrections in the system, adding and removing drivers and vehicles from the system, and assisting with fueling issues.
- Provide compassionate and excellent customer service when interacting with the public with the ability to work and communicate with diverse groups, both verbal and written, maintain confidentiality and act with discretion when handling sensitive information.
- Serve as the EMS Division Records Retention Subject Matter Expert (SME) in keeping with King County requirements.

Experience, Qualifications, Knowledge, Skills Our ideal candidate will demonstrate the following (Minimum): - Demonstrate experience in coordinating programs and projects with strong organizational skills, time management abilities, and attention to detail.
- Demonstrated knowledge of database entry and management, data utilization and analysis, and report generation to ensure programs and projects are performing as expected.
- Strong communications skills, both verbal and written , with the ability to effectively convey complex information clearly and simply to a variety of audiences, including team members, individuals from diverse backgrounds and cultures, and those with possible language barriers.
- Demonstrated knowledge and experience in handling and processing of medical health record requests and records retention practices in adherence with WA State and HIPAA laws, rules and regulations.
- Demonstrated knowledge and experience accepting subpoenas and coordinating testimony and/or depositions in compliance withall associated rules and regulations.

- Demonstrated intermediate or advanced proficiency with MS Office Suite, SharePoint/Teams.
