The FBH System Medical Records Quality Coordinatoris on a team that handles clinical medical record requests coming from all 9 FBH sites and plays a pivotal role in FBH's quality management, quality improvement, compliance, and risk management strategies. This team is the primary point of contact for all clinical records requests and ensures full compliance with Federal, State, and organizational privacy standards. The position is part of a team that proactively drives system-wide improvements, contributing to strategic initiatives that enhance documentation quality, operational efficiency, and risk mitigation. By championing best practices, the team safeguards the integrity, accuracy, and confidentiality of client health records. The position serves on a team that plays a key role in administrative oversight, quality assurance monitoring, and fostering a culture of compliance. This position is essential to organizational excellence.
JOB SUMMARY: Clinical Medical Records Requests
• Receive and process medical records requests across all FBH site staff, external agencies, and authorized individuals in accordance with FBH policies and HIPAA regulations.
• Redact sensitive information from clinical documents to ensure confidentiality and compliance.
• Track and maintain timelines for records requests, maintaining accurate logs of open and completed cases.
• Prioritize and manage workload effectively to meet deadlines and respond to urgent requests.
• Ensure all redacted and released documents are properly stored in client electronic health records.
• Work in conjunction with FBH Medical Records Team (MRT) to provide guidance to site staff on documentation release procedures and confidentiality standards.
• Interact with FBH staff, allied community agencies, clients, and other stakeholders as necessary to fulfill job duties
Clinical Medical Records Quality Reviews
• Conduct regular and random reviews of clinical records to ensure documentation is complete, timely, and compliant with Medicaid, state, and organizational standards.
• Through regular monitoring of clinical records, act to notify FBH System Leadership about any aspect of documentation that may constitute clinical or agency risk.
• Verify that medical necessity is documented for admissions, ongoing treatment, and service closures.
• Summarize findings from chart reviews and submit reports as required.
• Collaborating with FBH MRT and site CQI leads to support a culture of learning and professional development.
HIPAA:
- Responsible for upholding a culture of privacy and security in a highly confidential work environment.
- Complies with all CCSWW policies and procedures that involve access to and safeguarding of client Protected Health Information.
- This position will be based out of the FBH System office in the Northend of Tacoma, WA.

WHAT WE ARE SEEKING IN A CANDIDATE: • Bachelor's degree in social services or related field
• Designated by the state behavioral health licensing authority as a Mental Health Professional (MHP - Washington) or Qualified Mental Health Professional (QMHP - Oregon) or meets qualifications for such.
• Three or more years' experience in a progressively responsible Clinical and/or Behavioral Health Operations position.
• Knowledgeable about healthcare privacy, healthcare quality management and quality improvement practices, medical billing systems, utilization management strategies, electronic health records.
• Ability to work independently in addition to working as a member of a team.
• Knowledge of approaches to continuous quality improvement.
• Excellent interpersonal and organizational skills with the ability to communicate respectfully with families and professionals.
• Committed to maintaining an optimistic, solution-focused, and strength-based approach in all dealings with internal and external stakeholders.
• Must have a basic understanding of the effects of trauma upon youth and their families.
• Computer skills with experience with the Microsoft suite of applications including Word, Excel, Teams, and SharePoint, among others.
• Excellent written and oral communication skills.
• First/AidCPR certified or the ability to become certified within the 1 month of employment

PREFERRED QUALIFICATIONS: • Experience working in a private non-profit system.
• Experience in provision of Wraparound or Intensive Behavioral Health Services or Children's mobile crisis services or the equivalent.
• Proficient experience with medical/behavioral health privacy regulations and electronic health record systems.
