Cloud Operations + Innovation (CO+I) is seeking a skilled
Executive Business Administrator to provide support to the CTO/CVP of CO+I and their teams, this position will support the CTO Office team.
This role will take on a variety of tasks while working in a fast-paced and dynamic environment. The ideal candidate will have effective organizational and communication skills, be able to proactively anticipate needs and shift priorities quickly, be self-motivated, self-aware, and have the ability to balance a sense of humor with a sense of responsibility. Responsibilities: - Provide strategic calendar management and meeting logistics support for senior leadership, including prioritization and conflict resolution.
- Prepare and distribute meeting materials (agendas, briefings, pre-reads) and ensure follow-up actions are completed.
- Act as liaison between executives, internal teams, and external partners to facilitate communication and decision-making.
- Coordinate and manage events end-to-end, including planning, logistics, vendor management, and post-event reporting.
- Lead by example, demonstrating professionalism and executive presence while mentoring and onboarding new team members.
- Own and manage multiple projects simultaneously, driving accountability, process improvements, and measurable outcomes.
- Oversee resource and expense management, including budget tracking, compliance, and vendor coordination.
- Support organizational rhythm of business (ROB) by planning and executing meeting cadence and communication strategies.
- Manage space planning and team operations, including headcount tracking, recruitment support, and onboarding/offboarding activities.
- Arrange complex domestic and international travel, ensuring compliance with policies and seamless execution of itineraries.
Qualifications: Required/Minimum Qualifications - 5+ years Administrative, Business Support, or customer service experience in an environment with an emphasis on scheduling meetings/events, travel management, and administration work for executive/upper level management.
- Previous experience supporting C-suite level executives
Other Requirements: Ability to meet Microsoft, customer and/or government security screening requirements are required for this role. These requirements include, but are not limited to the following specialized security screenings:
- Microsoft Cloud Background Check: This position will be required to pass the Microsoft Cloud background check upon hire/transfer and every two years thereafter.
Preferred Qualifications: - Previous experience working at Microsoft, leveraging knowledge of its culture, processes, and tools to drive impact and deliver results.
- Bachelor's Degree in relevant field (e.g., Business Administration, Human Resources (HR), Marketing, Communications, Psychology, Sociology) OR equivalent experience.
- 2+ years experience serving as mentor to others.
- 3+ years' experience reviewing and managing administrative budgets (e.g., for events, morale, travel, training).
Business Support ATR-D - The typical base pay range for this role across the U.S. is USD $30.29 - $50.53 per hour. There is a different range applicable to specific work locations, within the San Francisco Bay area and New York City metropolitan area, and the base pay range for this role in those locations is USD $41.83 - $57.88 per hour.
