About the Role Halcyon is looking for an
Executive Assistant who thrives in fast-moving, dynamic environments and knows how to keep executives and teams operating at their best. This role partners directly with our Chief Marketing Officer, Kelly Fiedler and senior leadership team to drive seamless execution across calendars, communications, events, and high-priority projects.
The right candidate is highly organized, resourceful, and proactive-someone who anticipates needs, removes roadblocks, and ensures the CMO and team are always one step ahead. If you love solving problems, building processes, and keeping complex operations running smoothly, this is the role for you.
What You'll Do - Executive Support - Provide high-level administrative and strategic support to the CMO, including managing schedules, preparing materials, and serving as a trusted partner in daily operations.
- Calendar & Communication Management - Own scheduling, priorities, and follow-ups. Help ensure critical meetings and communications are addressed with clarity and urgency.
- Travel & Logistics - Coordinate domestic and international travel, including flights, accommodations, transportation, and itineraries.
- Expense & Reporting - Manage expense reporting with accuracy and timeliness; support budget tracking for marketing initiatives.
- Meeting Operations - Organize and prepare agendas, materials, and minutes for leadership and team meetings. Drive follow-up on action items.
- Event & Project Support - Partner with marketing leadership on logistics for flagship industry events (RSA, Black Hat) and internal team events. Support cross-functional initiatives that impact the company's growth and visibility.
- Onboarding & Team Support - Facilitate onboarding for new hires in the marketing team, ensuring a smooth and connected start.
- Special Projects - Take ownership of cross-functional initiatives, helping drive them to completion with precision and accountability.
What You Bring - Bachelor's degree or equivalent professional experience.
- 3+ years of experience as an Executive Assistant, ideally in a high-growth or startup environment.
- Mastery of calendar, travel, and expense management with exceptional attention to detail.
- Excellent communication skills-clear, professional, and confident across all levels of the organization.
- Strong proficiency with Microsoft Office Suite and collaboration tools (e.g., Slack, Zoom, Google Workspace, project management software).
- Proven ability to juggle multiple priorities with discretion, confidentiality, and sound judgment.
- A proactive, solutions-focused mindset-you anticipate challenges and address them before they arise.
- Flexibility and adaptability in a constantly evolving business environment.

Compensation Base Salary Range: $90,000 - $120,000 Final offer will be based on experience and qualifications.

The actual amount may differ based on non-discriminatory factors such as experience, knowledge, skills, abilities, and location. Base pay is one part of the total package that is provided to compensate and recognize employees for their work, and this role may be eligible for additional discretionary bonuses/incentives, and equity in the Company.
