You'll Get a Chance To - Maintain, plan, and coordinate calendars by scheduling external and internal meetings and details for assigned company executives.
- Organize and prepare for meetings, including gathering documents and attending to the logistics of meetings.
- Coordinate travel arrangements.
- Draft, review, and send communications on behalf of company executives.
- Answer and respond to phone calls and communicate messages and information to the executive.
- Determine priority of matters of attention; redirect matters to others to handle, or handle matters personally, as appropriate.
- Keep executives advised of time-sensitive and priority issues, ensuring appropriate follow-up.
- Prepare, reconcile, and submit expense reports.
- Attend meetings and take notes of discussion; prepare the initial draft of meeting notes and action items for review.
- Manage multiple projects across disciplines, both strategic long-term projects and more urgent matters.
- Maintain confidentiality and sensitive information.
Requirements
What You Bring to the Team - Proven experience supporting multiple senior executives in a fast-paced, dynamic environment.
- A proactive mindset with the ability to anticipate needs, solve problems, and improve processes once you understand the big picture.
- Comfort working with ambiguity and able to take action with limited information and ask thoughtful questions to fill in the gaps.
- Exceptional organizational skills and attention to detail, with the ability to manage competing priorities and meet tight deadlines.
- Strong written and verbal communication skills, including editing and proofreading with precision.
- High emotional intelligence and professionalism when handling sensitive information and confidential matters.
- Tech-savvy and proficient in Microsoft Office Suite, with a willingness to learn new tools and systems.
- A curious and resourceful approach to work, always looking for ways to improve efficiency and support executive success.

A reasonable estimate of the current annual salary is $85,000 - $110,000.

What You Should Know This is a full-time, hybrid role based in our Lake Oswego office. While there is flexibility in your weekly schedule, you'll need to be available to work onsite up to three days per week-or more if business needs require it. Up to 6 weeks of total travel, specifically during certain periods of time (May and October) but no more than 1 full week at a time. Our standard office hours are Monday through Friday, 8:00 AM to 5:00 PM.
