Job Summary: The HR Manager and Executive Assistant will play a dual role, managing comprehensive HR functions while providing high-level executive and administrative support. This position will lead the implementation of HR strategies, ensure compliance with employment laws, and oversee key processes such as talent acquisition, performance management, compensation, and employee engagement. Additionally, the role will support the President & CEO and CFO with calendar management, travel coordination, meeting materials, and corporate documentation, while also serving as a liaison to the Board of Directors and managing related logistics. Office administration responsibilities will include maintaining a welcoming and functional office environment and coordinating local events and facilities needs.
Primary Responsibilities: HR Management: - Assist in the development and manage the implementation of HR strategies and initiatives aligned with the overall business strategy
- Maintain and apply current knowledge of compliance standards and employment law to ensure compliance with federal, state, and local law
- Recommend and implement organizational practices that support inclusion in the workplace
- Maintain and administer HR policies, systems, processes, and procedures across the organization including:
- Talent acquisition, onboarding and offboarding processes
- Performance appraisal that drives high performance
- Employee terminations, including notifications
- Tracking, measurement, and reporting systems for HR strategies and initiatives including engagement and any other employee surveys
- Recommend and administer the organization's compensation decisions based on market research, compensation surveys, and the organization's compensation structure and "Pay for Performance" philosophy
- Investigate employee issues and conflicts and advise leadership on resolution
- Coordinate benefits program selection and administration
- Track and advise on employee leaves of absence
- Assess training and development needs and coordinate related activities
Executive Support: - Support the daily administrative needs of CLS's President & CEO and CFO
- Coordinate and calendar meetings and other activities
- Arrange travel and accommodation
- Prepare monthly expense reports
- Prepare materials as requested
- Organize and maintain corporate records and other electronic documents
Board of Director Support: - Serve as a point of contact for all board members
- Coordinate and schedule all board and committee meetings
- Coordinate, organize, and distribute meeting materials
- Maintain and facilitate the use of Nasdaq Boardvantage and maintain board member information in Salesforce and other systems
- Attend all board and committee meetings and track attendance, prepare meeting minutes, and obtain signatures as required
South San Francisco Office Administration: - Assist in maintaining common areas and office décor and functionality
- Greet visitors and manage mail and office supplies
- Serve as the point of contact for the landlord and manage any facilities-related requests including key fob distribution and activation
- Support local events by performing registration, help desk, and/or other activities as requested
- Schedule occasional activities for office personnel
Background and Qualifications: - Bachelor's degree in human resources management, or a closely related discipline preferred; equivalent combination of education, training, and/or experience required
- Minimum 3-5 years of relevant professional-level experience required
- Must possess the ability to identify and manage appropriate matters confidentially
- Knowledge of labor law, HR best practices, and HR information systems
- Ability to productively research HR-related regulations and practices
- Excellent active listening and organization skills
- Ability to work effectively across teams to encourage and foster involvement and communication
- Excellent attention to detail
- Strong interpersonal and communication skills
- Knowledge of Adobe Acrobat, Salesforce, or Nasdaq Boardvantage a plus
