Position Summary: he Office Manager will be responsible for overseeing the daily operations of the designated campus location, executive leadership calendar scheduling, and vendor meeting coordination.
Essential Duties and Responsibilities include the following: - Point person for maintenance, mailing, shipping, supplies, equipment, bills, and errands
- Organize and schedule meetings and appointments
- Partner with HR to maintain office policies as necessary
- Organize office operations and procedures
- Coordinate with IT department on all office equipment
- Manage relationships with vendors, service providers, and landlord, ensuring that all items are invoiced and paid on time
- Provide general support to visitors and handle customer inquiries and complaints
- Responsible for creating PowerPoint slides and making presentations
- Manage executives' schedules, calendars, and appointments and coordinate schedules, appointments, and bookings
- Responsible for managing office services by ensuring office operations and procedures are organized, correspondences are controlled, filing systems are designed, supply requisitions are reviewed and approved, and that clerical functions are properly assigned and monitored
- Establish a historical reference for the office by outlining procedures for protection, retention, record disposal, retrieval, and staff transfers
- Ensure office efficiency is maintained by carrying out planning and execution of equipment procurement, layouts, and office systems
- Determine current trends and provide a review to management to act on
- Coordinate office staff activities to ensure maximum efficiency
- Design and implement filing systems and ensure filing systems are maintained and current
- Establish and monitor procedures for record-keeping and ensure the security, integrity, and confidentiality of data
- Prepare operational reports and schedules to ensure efficiency
- Monitor and maintain office supplies inventory and Review and approve office supply acquisitions as needed.
- Maintain a safe, secure, and pleasant work environment
- Assist with office layout planning and office moves, and with managing and maintaining IT infrastructure
- Provide other administrative support as necessary, including scheduling group meetings, maintaining calendars, doing research, and creating reports
- Maintain a cooperative relationship with patients, staff and any other individuals.
- Maintain a high level of professionalism at all times and promote the importance of customer service.
- Handle complaints of patients and maintain an office complaint log or copies of written complaint.
- Comply with office confidentiality, safety, infection control and exposure control policies.
- Ensure that office is kept clean, organized and safe.
- Demonstrate effective communication skills by conveying necessary information.
- Display a professional attitude through performance, appearance and demeanor.
- Maintain neat, legible and organized written records.
- Act as back-up support as needed within the departments.
- Demonstrate good judgment in handling situations not covered by written or verbal instructions.
- Recognize and resolve problems, troubleshoot malfunctions in equipment or treatment procedures and use alternate methods if available.
- Attend meetings as required.
- Work collaboratively with other managers in the organization to provide in the organization cross-training and cross-coverage between departments.
- Performs all other duties as directed by management.
The pay range for this position at commencement of employment is expected to be between $80,000 - $85,000 annually; however, base pay offered may vary depending on multiple individualized factors, including market location, job-related knowledge, licensure, skills, and experience.
The total compensation package for this position may also include other elements, including a sign-on bonus and discretionary awards in addition to a full range of medical, financial, and/or other benefits (including 401(k) eligibility and various paid time off benefits, such as vacation, sick time, and parental leave), dependent on the position offered.

Education and / or Experience: - Bachelor's degree or two to five years' related experience and/or training; or equivalent combination of education and experience.
