Position Overview We are seeking a highly organized, proactive, and trustworthy Personal Assistant to support day-to-day business and personal operations. This role requires someone who can manage multiple priorities, maintain confidentiality, and anticipate needs before they arise. The ideal candidate is detail-oriented, tech-savvy, professional in client interactions, and comfortable handling both administrative and bookkeeping responsibilities. ONSITE $65,000 - $75,000 Key Responsibilities Administrative & Calendar Management Manage and maintain complex calendars, appointments, and scheduling Coordinate meetings, calls, events, and reminders Organize daily priorities and ensure deadlines are met Handle email correspondence and communication on behalf of leadership Prepare reports, presentations, and documents as needed Arrange domestic and international travel accommodations, including flights, hotels, transportation, and itineraries Manage travel schedules and last-minute changes efficiently Track travel expenses and maintain organized records Bookkeeping & Financial Support Assist with bookkeeping tasks including expense tracking, invoicing, reconciliations, and bill payment Maintain accurate financial records and organized documentation Coordinate with accountants, vendors, and financial professionals as needed Client & Relationship Management Serve as a professional point of contact for clients, vendors, and partners Manage client communication and follow-up Qualifications Previous experience as a Personal Assistant, Executive Assistant, Office Manager, or similar role preferred Strong organizational and multitasking abilities Excellent written and verbal communication skills Experience with QuickBooks or similar platforms preferred Proficiency in Microsoft Office, Google Workspace, and scheduling tools Ability to work independently and problem-solve proactively High level of professionalism, discretion, and attention to detail Determining compensation for this role (and others) at Vaco/Highspring depends upon a wide array of factors including but not limited to the individual’s skill sets, experience and training, licensure and certifications, office location and other geographic considerations, as well as other business and organizational needs.
