Job Summary The Senior Retirement Programs Administrator is responsible for the tactical administration and daily operations of retirement programs for multiple entities with union and non-union employee groups, ensuring regulatory and contractual compliance and timely transaction processing and reporting.
Primary Objectives - Administer defined benefit and defined contribution plans across multiple entities and employee groups.
- Monitor and maintain compliance with ERISA, IRS, DOL, and other regulatory requirements.
- Collaborate with internal teams and external vendors to support accurate and timely plan operations.
- Lead process improvements and operational consistency across retirement programs.
Duties and Responsibilities - Administer day-to-day operations of retirement plans and programs, including eligibility, contributions, distributions, loan administration, plan audits, required testing, reporting, and filings.
- Maintain accurate plan documents, amendments, and transaction records in accordance with compliance standards.
- Document and maintain a retirement plan administration procedure manual and lead internal plan and system compliance reviews.
- Lead coordination between service providers and payroll for processing of transactions, including timely, accurate communication and documentation practices relating to deductions, plan remittances, mandatory employer contributions, and reconciliations.
- Prepare, coordinate, and submit required filings within required timeframes, including Form 5500 and other regulatory documents.
- Act as primary point of contact for all union and non-union plan participants; address and resolve complex participant issues and inquiries in a timely and professional manner.
- Coordinate and facilitate Retirement Plan Committee (RPC) meetings, record keeping, and data requests.
- Lead annual retirement programs audits and non-discrimination testing; provide plan, participant, and transaction data, records, and information to auditors; resolve inquires and substantiate data.
- Research and recommend changes to plan design, TPA services, and materials.
- Implement decisions made by the RPC incorporating compliance requirements, communication plans, and operations process changes.
- Manage and maintain effective relationships with recordkeepers, third-party administrators (TPA), trustees, legal advisors, and other service providers.
- Analyze plan performance, costs, and trends to provide strategic recommendations to leadership.
- Prepare and deliver presentations and program materials including required notices, program-related correspondence, plan summaries, and enrollment, transaction and claims materials.
- Support budgeting and collective bargaining processes by providing timely, accurate, retirement plan data, projections, and insights.
- Conduct regular plan reviews to ensure compliance with regulations and alignment with organizational goals.
- Support process enhancements and automation to optimize user experience and drive effective use and maintenance of vendor systems, HRIS, and other technology tools.
- Other duties as assigned.

Education - Bachelor's degree in Human Resources or equivalent combination of relevant, college-level coursework and applied experience required
Licenses and Certifications - Certified Employee Benefits Specialist (CEBS), Qualified Pension Administrator (QPA), or similar professional certifications preferred
Work Experience - 5+ years' directly-related retirement plan administration experience required
- Experience with administration of retirement plans in a multi-employer and/or union plan environment required
Required Knowledge, Skills and Abilities - In-depth understanding of features and mechanics of a broad variety of defined contribution and defined benefit retirement programs.
- Solid understanding of ERISA and all applicable requirements, regulations, and federal and state laws relating to retirement plans.
- Proficiency with Fidelity Plan Sponsor tools and reporting functionality.
- Excellent process and documentation management skills.
- Strong analytical skills and attention to detail with the ability to interpret and explain complex plan documents and regulations.
- Knowledge and understanding of features, processes, and regulations related to employee benefit programs.
- Excellent verbal and written communication skills.
- Ability to properly handle confidential and sensitive information and materials, detailed understanding of applicable privacy and information security regulations.
- Excellent research, project planning, and time management skills.
- Familiarity with HRIS and vendor systems and reporting tools.
- Demonstrated intermediate level proficiency with Microsoft Office products including Excel, Word, PowerPoint, and Outlook.
Preferred Knowledge, Skills and Abilities - Advanced Excel, presentation, and analytical skills preferred.

Starting pay will be determined by job-related factors including experience, education, and business needs and may be modified at any time.
Zone 1: $135,000 - $155,000
