The Role

We are seeking an outstanding Clinic Administrator / Front of House to be the face of our clinic. Please only apply if you have experience otherwise you WILL NOT be considered for this role. This is a full-time, on-site role that requires a highly professional, impeccably presented individual with a passion for delivering exceptional service. You will be responsible for ensuring the smooth day-to-day running of the clinic, providing a seamless experience for both clients and staff.

Your key responsibilities will include:

• Welcoming clients with warmth, impeccable manners, and professionalism.

• Managing the front desk, handling phone calls, and responding to new enquiries with confidence and efficiency.

• Scheduling and maintaining a full clinic diary for 1-3 practitioners.

• Ensuring all new clients receive comprehensive information and are smoothly guided through the booking process.

• Overseeing patient flow and clinic operations to ensure a seamless experience.

• Managing clinic stock and supplies, maintaining spreadsheets, and ensuring accurate reporting.

• Coordinating and organising staff training and diary.

Working Hours:

• Tuesday – Saturday (40 hours per week)

• Tuesday – Thursday: 11:30 AM – 8:00 PM

• Friday: 11:00 AM – 7:30 PM

• Saturday: 9:00 AM – 5:30 PM

• Sunday & Monday off

What We’re Looking For:

• Exceptional customer service skills with a warm and engaging manner.

• Fluent and articulate in English, with impeccable communication skills.

• Ability to multi-task, stay organized, and manage time effectively.

• Proficiency in diary management systems, emails, phone calls, and spreadsheets

• Previous experience in a front-of-house, reception, or clinical environment is a plus, (minimum of 2 years in a role similar)

• Background knowledge in advanced skin treatments is desirable but not essential (full training provided).

• Professional appearance and a keen eye for detail.
