Title: Confidential Administrative Assistant to the Principal

Position Summary The Administrative Assistant to the Principal provides high-level administrative and clerical support to the Principal and Main Office. This role is critical in ensuring efficient daily operations, effective communication, and the smooth coordination of academic, professional, and community functions at Argo Community High School. The Confidential Administrative Assistant serves as a central resource for staff, faculty, and community stakeholders, maintaining a high degree of professionalism, discretion, and organizational skill.
Essential Duties and Responsibilities - Attendance: Monitor and manage daily attendance records, ensuring accuracy and compliance with district procedures.
- Substitute Arrangements: Coordinate and schedule substitute teachers; serve as primary contact for daily coverage needs.
- Communications: Answer and direct phone calls, emails, and other correspondence on behalf of the Principal and Main Office.
- Meeting Support: Record and prepare minutes for Division Chair and Assistant Division Chair meetings.
- Timekeeping: Oversee and manage staff time sheet submissions within Red Rover, ensuring accuracy and timely approvals.
- Ordering & Supplies: Order and track materials, supplies, and equipment for the Main Office and Teaching & Learning Center.
- Course Planning Guide: Edit, format, and publish the annual Course Planning Guide for distribution to students, staff, and families.
- Scheduling: Manage calendars, schedule meetings, and coordinate appointments for the Principal and Main Office.
- Event Coordination & Support:
- Plan, coordinate, and provide logistical support for school events including but limited to:
- Walk the Halls Night
- Laptop Pickup
- Staff BBQ
- Freshman First Day
- 8th Grade Parent Night
- ACT Testing and ACT Prep Sessions
- PSAT/NMSQT Testing
- New Teacher Academy
- Student Advisory Commitee
- Parent-Teacher Conferences
- Responsibilities include scheduling, communication, ordering supplies and food, arranging facilities, and ensuring smooth execution of each event.
- Travel Coordination: Arrange business travel logistics for staff, including registration, lodging, and transportation.
- Room Utilization: Manage room scheduling and utilization through designated software to optimize instructional and event space.
- Professional Memberships: Maintain documentation and renewals for staff professional memberships and affiliations.
- Master Schedule Support: Assist in compiling and developing the annual Master Schedule in collaboration with administration.
- Bell Schedule: Update, maintain, and distribute bell schedules as needed throughout the school year.
- Professional Development Documentation: Create and distribute Continuing Professional Development Units (CPDUs) for staff.
- Crisis Fund: Maintain documentation and financial records for the staff Crisis Fund.
- Other Duties: Perform additional responsibilities as assigned by the Principal or Main Office Administration.
Qualifications - High school diploma or equivalent required; Associate's or Bachelor's degree preferred.
- Previous experience as an administrative assistant, office manager, or in a school environment preferred.
- Strong organizational skills with the ability to manage multiple tasks and deadlines.
- Excellent verbal and written communication skills.
- Proficiency in Microsoft Office Suite, PowerSchool, Google Workspace, and scheduling/room management software; experience with Red Rover or similar systems preferred.
- Ability to handle confidential information with discretion and professionalism.
- Strong interpersonal skills with the ability to collaborate effectively with staff, students, parents, and community partners.
- Demonstrated strong problem-solving abilities, consistently analyzing challenges, identifying practical solutions, and implementing effective strategies to improve outcomes.
- Takes ownership of assigned tasks, carrying them through to completion with minimal oversight while maintaining high quality and accountability.
Salary range of $75,000 to $90,000 depending on qualifications and experience
