Seattle Colleges District Office is looking to hire a
Senior Executive Assistant in Advancement. Salary Range for this position is $79,467 - $109,739 (depending on experience).

Position Summary The Senior Executive Assistant provides executive level administrative support services to the Vice Chancellor for Advancement and the Seattle Colleges Foundation's Board of Directors. This includes managerial direction of staff and external volunteers to support the Vice Chancellor and Foundation Board in conducting 501c3 nonprofit responsibilities and securing private support to advance the mission of the Seattle Colleges.
This role functions within the dynamic environment of the Advancement Office and Seattle Colleges Foundation and proactively anticipates needs and responds in a timely and flexible way in managing competing priorities to consistently meet deadlines. The nature, diversity, and scope of responsibility of this role requires an elevated level of initiative and judgment, as well as discretion in handling confidential information.
This position is full-time, working 40 hours per week, Monday through Friday, primarily
8:00 a.m. to 5:00 p.m.
This position works a hybrid schedule of both remote and on-site work.

What you will be working on: Vice Chancellor Support - Serve as a confidential assistant to the Vice Chancellor and Board of Directors
- Develop and coordinate communications on behalf of the Vice Chancellor
- Support the Vice Chancellor's leadership through managerial direction to staff and volunteers that advances strategy, plans, initiatives, and projects
- Partner with the Vice Chancellor in the budget process, helping coordinate budget creation, revision in conjunction with the Executive Director of Finance & Administration
- Maintain the Vice Chancellor's discretionary budget and manage spending.
- Proactively manage the Vice Chancellor's calendar; schedule and resolve competing priorities and conflicts
- Troubleshoot and resolve concerns and/or complaints on behalf of the Vice Chancellor.
- Support the Vice Chancellor's projects and donor portfolio through research, database updates, and task management
- Support and coordinate recruitment and orientation for new trustees
- Partner with the Vice Chancellor to provide documentation and tracking for the Foundation annual financial audit.
- Partner with the Vice Chancellor in the budget process, helping coordinate budget creation and revision in conjunction with the Executive Director of Finance & Administration
- Coordinate meetings (including virtual, hybrid and in-person) with staff and external stakeholders.
- Organize and attend meetings led by the Vice Chancellor; take notes, track and execute follow-up tasks
- Maintain contact lists and individual contact records
- Develop and coordinate communications on behalf of the Vice Chancellor
- Function as a liaison between the Vice Chancellor, Advancement Office, the Seattle Colleges internal community, and public.
- Maintain memberships
- Exercise sound judgment in responding verbally and/or in writing to requests regarding Foundation policies, guidelines, and procedures; triage inquiries sent to Advancement Office e-mail accounts and voicemail boxes.
Foundation Board of Directors - Serves as the primary liaison to the Foundations Board of Directors, consisting of up to 25 board members
- Manage Foundation Board and committee calendar
- Schedule board and committee meetings and events, manage logistics, and prepare and distribute meeting packets and/or other materials as needed
- Take and/or manage minutes for Foundation Board and Committee meetings based on board policy
- Administer the Foundation's cloud-based platform BoardEffect containing corporate and board documents, meeting materials, organizational documents, and other resources
- Develop and maintain board rosters and volunteer group membership lists
- Organize and maintain key organizational documents for information and compliance purposes
- Serve as the primary liaison between the Foundation and any volunteer committee or groups (e.g., advisory group, campaign committee).

- Serve on assigned committees and represent the Advancement Office

- Bachelor's degree OR any combination of relevant education, training, and experience that indicate successful performance of the essential elements of the position.
- 5 or more years of progressively responsible experience in administrative support, bookkeeping, accounting, or general administrative positions.
- Strong proficiency with Microsoft Office Suite.
- Demonstrated ability to take initiative and proactively add value to a team.
- Proven experience working with technology and ability to adapt to new systems.
- Superior verbal and written communication skills.
- Demonstrated ability to manage multiple tasks, set priorities, and coordinate activities with complex components with minimal supervision.
- Verifiable ability to exercise a high degree of independent judgment when working in sensitive and highly confidential environments.
- Demonstrated successful experience collaborating with people from diverse communities.
