Job Description Summary
Reporting into the Director of Materials Management, the Resource Coordinator for Materials is responsible for the coordination of services needed to support the assigned area, including coordination and management of all purchasing, receiving and maintenance functions when applicable. The coordinator is responsible for vendor management in regards to purchased services and the monitoring of the supply chain. The coordinator will act as a liaison to other support departments such as engineering, stores, print shop, project management and any other hospital based departments as deemed necessary. Coordinates with Emergency Preparedness and the EOC, to ensure regulatory compliance.
Job Description
ESSENTIAL FUNCTIONS
1 - Responsible for standard purchasing functions, in accordance with Materials Management Departments Policies and Procedures.
2 - Responsible for the coordination and oversight of the supply rooms.
3 - Oversees and maintains equipment, ensuring compliance with regulatory standards.
4 - Ensures compliance with life safety regulations and maintains ties with Emergency Preparedness and EOC committees. This includes, but is not limited to, fire alarm testing and fire drills.
5 - Maintains contracts and maintenance agreements through the Materials contract Data Base.
6 - Represents the assigned area on assigned internal committees as required.
7 - Coordinates and prepares reports as needed to include: financial reports, Process improvement and any necessary compliance reporting.
8 - Monitors facility maintenance and coordinates necessary work through appropriate hospital based departments and or vendors as well as coordination with landlord.
9 - Educates staff on supply systems and life safety issues.
10 - Maintains appropriate documentation and participates in process improvement and quality improvement programs
11 - Understands and follows appropriate policies and procedures for the assigned areas.
12 - Embraces technology solutions for work practice and processes. Utilize information systems, telcom services, and office equipment to maximize efficiencies and levels of support given to the assigned area.
13 - Fosters a “Culture of Safety” through personal ownership and commitment to a safe environment. Acts as the liaison and educator for the assigned area for safety with the hospital-based team.
JOB REQUIREMENTS
Minimum Education - Preferred
Associates Degree in Business and/or equivalent experience preferred
Minimum Work Experience
Requires at least three (3) years of purchasing/materials management experience with knowledge of medical and office supplies and equipment. Other support services experience a plus.
Required additional Knowledge, and Abilities
PC – Electronic experience required
Basic computer program skills (word, excel, etc.)
Customer Service oriented
Excellent telephone skills
