What to expect in this role: In this role you will: - Provide administrative support to our Head of Technology Engineering and Infrastructure and to Senior Leaders across the organisation
- To provide pro-active calendar management for Senior Management. Ensuring urgent items are highlighted, while resolving conflicting requests. This will include organizing, scheduling, and booking both external and internal meetings
- Oversee and track high level priorities of Senior Management for upcoming Executive/Board/Regulatory meetings
- Collect and prepare appropriate material for team/tribe meetings and other major team/tribe events (PowerPoint presentations, minutes of team meetings, etc.)
- Create purchase requisitions on behalf of the team/tribe using internal SAP systems. Communicate and follow up with Procurement as needed
- Provide support for Senior Management in respect of their varying travel requirements
- Investigate travel options and book travel, including any visa requirements
- Complete and submit all expense claims for Senior Management
- Organize team/tribe events/off-sites/spacious room planning and ceremonies (calendar, logistics, catering, travel/expense)
- Provide general administrative support to Senior Management
- Collaborate and work with peers on office wide internal events, such as brown bag sessions, townhalls, open doors, workshops (preparation, planning, logistics, setup etc.)
- Demonstrate awareness of policies and procedures, suggest improvements where appropriate and communicate accordingly with Senior Management and teams/tribes
What will make you successful? We are seeking professionals with the following skills and expertise: - Bachelor's degree in Business Administration
- 3-5 years of experience in IT administrative management
- Strong planning, organizational, and time management abilities
- Proven ability to manage multiple priorities and balance daily workload effectively
- Collaborative mindset with the ability to build strong relationships across peers, senior leaders, and stakeholders
- Demonstrated discretion and ability to handle sensitive information confidentially
- Flexibility and adaptability in a changing environment
- Self-motivated, accountable, and able to work independently
- Excellent verbal and written communication skills
- Proficiency in Microsoft Office Suite
Swift is unable to sponsor an employment authorization for this position now or in the future. The estimated salary range for a new hire into this position in Virginia is $73,085.00 USD Annual MINIMUM to $135,729.00 USD Annual MAXIMUM. Salary may vary depending on job-related factors which may include knowledge, skills, experience, and location.
