(minimum 3 days per week in our San Francisco Peninsula office) Position Summary We are seeking a highly capable, organized, and adaptable Executive Assistant to support our CEO in leading a high-growth, global technology company. This is a high-impact role within the CEO Office, working alongside the Chief of Staff and embedded in a collaborative team of Executive Assistants. The ideal candidate will not only support the CEO directly, but also help lead the coordination of executive support across time zones, including directing the work of a Europe-based Executive Assistant.
The Executive Assistant will enable the CEO's focus on strategic priorities through seamless calendar orchestration, travel and meeting execution, stakeholder coordination, and proactive operational follow-through. In addition, this role will take on responsibility for managing our Bay Area office and helping to cultivate a strong local team culture.
This position requires presence in the office at least three days per week to support in-person collaboration and executive rhythm.
Key Responsibilities Executive Operations & Strategic Support - Manage a dynamic, high-volume calendar across global time zones to optimize the CEO's focus and impact.
- Schedule and coordinate internal and external meetings, briefings, and leadership events.
- Prepare agendas, briefing documents, and follow-up materials to ensure the CEO is always one step ahead.
- Proactively anticipate needs and support the CEO's decision-making by ensuring timely access to information and people.
- Work closely with the Chief of Staff and CEO Office team to align the CEO's time with the company's top priorities.
Team Leadership & Coordination - Oversee and coordinate work with a Europe-based Executive Assistant to ensure seamless global support.
- Contribute to CEO Office team culture, operating rhythm, and continuous improvement efforts.
Travel & Logistics Management - Organize complex domestic and international travel, including flights, accommodations, visas, and itineraries.
- Ensure smooth travel execution and troubleshoot real-time issues.
- Manage expense reporting and reimbursements.
- Occasional travel may be required.
Stakeholder Engagement - Act as a trusted point of contact between the CEO and internal/external stakeholders, including executive leaders, board members, customers, and partners.
- Maintain professional, responsive communication with high discretion and reliability.
- Build strong working relationships across global offices and time zones.
Project & Operational Support - Support ad hoc strategic and operational projects led by the CEO or CEO Office.
- Maintain documentation, track action items, and help drive execution across departments.
- Take initiative to improve processes, anticipate roadblocks, and increase operational efficiency.
Bay Area Office & Culture - Manage the Bay Area office to support a productive and professional environment for the CEO and leadership team in the Bay Area.
- Help foster a strong local culture and sense of community within the office.
Qualifications - Bachelor's degree required; business, communications, or related field preferred.
- 8+ years supporting senior executives in high-growth, global, or technology-driven companies.
- Excellent communication and interpersonal skills; professional, composed, and detail-oriented.
- High degree of discretion and judgment in handling sensitive information.
- Expert-level proficiency with productivity tools (Google Workspace, Slack, Zoom, etc.).
- Exceptional organizational and time management skills, with the ability to manage competing priorities.
- Flexible schedule to support a globally distributed executive.
- Additional languages are a plus.

For California-based roles, the base salary hiring range for this position is $150,000 to $200,000.
