Job Description Change the world. Love your job. The Executive Administrative Assistant provides administrative support specifically a C-level executive. They will require in-depth knowledge of company operations, policies, and procedures. The responsibilities will include collection and preparation of information for use in discussions/meetings of executive staff and outside individuals. In addition, the assistant will prepare presentation materials for board of director or investor meetings. The assistant makes high level contacts of a sensitive nature inside and outside the company.
This high-level position requires a strategic thinker with impeccable discretion, superior organizational skills, and the ability to anticipate needs before they arise. The ideal candidate will be a consummate professional, adept at managing complex situations and interfacing with all levels within the organization.
Key Responsibilities:
- Serve as the primary point of contact for internal and external communications on behalf of the executive
- Manage a complex and dynamic calendar, including prioritizing critical meetings and engagements
- Coordinate domestic and international travel, ensuring flawless execution
- Prepare and edit correspondence, presentations, and reports
- Organize meetings, employee celebrations, and strategic planning sessions
- Manage confidential and sensitive information with the utmost discretion
- Oversee special projects and initiatives as needed
- Act as a liaison between the executive and other C-suite members, and key stakeholders
- Coordinate office area and maintain a professional working environment
- Plan and executive events and meetings for leadership team
- Anticipate the executive's needs and proactively resolve potential issues
Qualifications Minimum Requirements: - High School diploma/GED
- 10 years of experience supporting C-level executives in a fast-paced corporate environment
- Expert proficiency in Microsoft Office Suite, with advanced skills in Outlook, PowerPoint and Excel
- 5 years of experience coordinating international & domestic travel for leaders
- Strong project management skills
Preferred qualifications: - Bachelors degree preferred
- Exceptional written and verbal communication skills
- Superior problem-solving abilities and strategic thinking skills
- Ability to maintain the highest level of confidentiality and professionalism
- Demonstrated ability to work effectively under pressure and meet tight deadlines
- Strong leadership skills with the ability to influence and collaborate at all levels
- Flexibility to work extended hours as needed
