Overview
The Practice Administrator - Ancillary Programs serves as the direct manager of the practice's Infusion nursing staff and Laboratory phlebotomists. This role is accountable for day-to-day operations, staffing, financial performance, and compliance within both departments. The Administrator works closely with executive leadership to ensure efficiency, profitability, and regulatory compliance, while fostering a culture of teamwork, accountability, and high-quality patient care.
Key Responsibilities
• Oversee daily operations of Infusion and Lab, ensuring smooth workflows and optimal patient experiences.
• Manage scheduling, staffing, and resource allocation for infusion nurses and phlebotomists.
• Develop and enforce policies, procedures, and clinical/operational best practices.
• Directly supervise infusion nurses and phlebotomists, including scheduling, daily oversight, and performance management.
• Conduct performance reviews, set clear expectations, and provide coaching and mentorship.
• Partner with HR on recruiting, onboarding, and training of ancillary staff.
• Foster a culture of accountability, collaboration, and continuous improvement.
• Monitor budgets, expenses, and revenue for Infusion and Lab.
• Track KPIs such as patient volume, utilization, productivity, and cost-per-service.
• Implement strategies to enhance efficiency, reduce waste, and improve margins.
• Ensure Infusion and Lab operations comply with federal, state, and payer regulations.
• Maintain readiness for inspections, audits, and accreditation requirements.
• Lead quality improvement initiatives, staff training, and patient satisfaction tracking.
• Collaborate with executive leadership to identify opportunities for program growth and workflow optimization.
• Lead projects related to service upgrades, technology adoption, and cross-departmental integration.
• Stay current on industry trends in infusion and laboratory services, including reimbursement changes and compliance standards.
• Other duties as assigned.
Qualifications
• Bachelor's degree in Healthcare Administration, Business, or related field preferred. Equivalent healthcare management experience will be considered in place of formal education.
• Minimum 5-7 years of healthcare management experience, including direct supervision of clinical staff.
• Prior experience with infusion services, laboratory operations, or other ancillary healthcare programs strongly preferred.
• Strong knowledge of healthcare compliance, payer policies, and operational workflows.
• Demonstrated financial management and KPI-driven performance improvement experience.
• Excellent leadership, communication, and problem-solving skills.Ability to manage multiple priorities in a fast-paced environment.
