Word Processor About the Firm: Our client, a highly regarded Century City law firm, is seeking a
Word Processor with advanced technical skills and extensive law firm experience. This role is ideal for a professional who thrives in a fast-paced environment, enjoys complex document production, and has an exceptional eye for detail.
Position Overview: The Word Processor will support attorneys and staff by handling the preparation, revision, and formatting of legal documents, pleadings, discovery, and appellate filings. This role requires mastery of Microsoft Office, PDF editing, and legal-specific document production, along with excellent organizational and troubleshooting skills.
Key Responsibilities: Word Processing & Document Production - Create, edit, and format pleadings, discovery, and response shells.
- Generate and update Tables of Authorities (TOA) and Tables of Contents (TOC) , ensuring correct case/statute formatting.
- Revise and proofread legal documents with precision.
- Compare Word and PDF documents using redline tools.
- Reformat documents received from outside sources to align with firm styles and numbering standards.
- Troubleshoot problematic documents, metadata issues, and formatting errors.
- Transcribe dictations and draft correspondence as needed.
PDF & E-File Preparation - Convert and format PDFs into Word; make searchable, resize, and optimize.
- Compile, bookmark, and hyperlink pleadings and exhibits.
- Prepare appellate Excerpts of Record.
- Perform Bates stamping, reduction, and optimization.
- Create fillable PDF forms and edit existing files.
Other Technical Support - Prepare and format Excel spreadsheets and PowerPoint presentations .
- Revise jury instructions and indexes.
- Enter attorney time in ProLaw .
- Edit images (.jpeg, .gif, etc.).
- Remove metadata and prepare ALN court forms.
- Generate SFTP (ShareFile) links and distribute documents.
- Send documents for signature via DocuSign .
- Create mail merge letters, envelopes, and labels.
- Provide guidance on macros, templates, and software best practices.
Qualifications: - Minimum 5 years of word processing/document production experience in a law firm setting.
- Advanced proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) .
- Strong knowledge of legal formatting, TOAs, TOCs, and appellate filings.
- Proficiency with PDF editing tools (Adobe Acrobat or similar).
- Familiarity with ProLaw or other legal time-entry/document systems.
- Ability to manage multiple tasks, prioritize deadlines, and maintain accuracy under pressure.
- Strong communication skills and ability to collaborate with attorneys and staff at all levels.
