What You Will Do The Weapon Systems Engineering Division (W-DO) is seeking a motivated, customer service-focused, and experienced individual to provide professional business and administrative support. The ideal candidate will be an excellent problem-solver, able to anticipate challenges and obstacles, and tactfully resolve them while delivering high-level professional administrative support to the division leader, deputy, staff operations manager, group-level management, and division members. In this role, you will work closely with group and division management to organize, prioritize, and contribute to the various initiatives within the division and group level. While executing your responsibilities, you will consistently maintain a professional office atmosphere, demonstrating attention to detail and accuracy, initiative, versatility, tact, and confidentiality.
Reporting to and collaborating closely with the W-DO Staff Operations Manager, you will help create a team environment marked by close cooperation, adaptability, and a willingness to provide support where needed. You will serve as a point of contact, resource, and role model for administrative staff throughout W Division. Additionally, you will be expected to perform with minimal supervision, provide input and guidance on changes to support business needs and objectives, and act as a valuable resource.
What You Need Minimum Job Requirements: Professional Administrative Support: Experience providing high-level administrative support in a fast-paced office environment is required. This may include creating and maintaining accurate data entry and tracking systems, organizing high-level meetings with internal and external participants, coordinating group-level hiring activities, and serving as a resource on business practices and LANL policies.
A proven track record of solving problems, developing and implementing effective solutions, and innovating business practices to consistently ensure customer satisfaction at all levels of the organization is imperative in this role. Ability to work with sensitive information and/or classified matter.
Organization and Time Management : Demonstrated ability to effectively organize, prioritize, and follow through to completion on multiple concurrent tasks, often under strict deadlines, while navigating frequent interruptions and changing priorities in a dynamic, fluid work environment. A proven record of dependability, availability, consistent attendance, and punctuality is essential.
Business Systems : Knowledge and experience with the Microsoft Office Suite, particularly with Outlook, Excel, and Word. Experience working with Oracle business systems and Concur for domestic and foreign travel. Ability to independently interpret data and information to support business needs. Experience serving as a designated procurement representative (DPR) or Ariba professional buyer.
Communication : Excellent interpersonal, verbal and written communication skills while interacting effectively with people throughout the organization hierarchy and in partnership with internal support organizations. Grammatical proficiency, formatting, and editing capabilities are expected at this level.
Mentoring and Teaming : Demonstrated mentoring and teaming skills. The ability to utilize tact, diplomacy, and discretion when handling sensitive and confidential information is critical.
Customer Service: Demonstrated excellence in customer service with high level problem solving. Proven ability to resolve customer concerns through clear, effective communication. Proactive approach to meeting group and customer needs.
Personal Leadership: Demonstrated experience working with limited oversight, taking appropriate initiative, and making decisions within defined boundaries is required. Experience working with policies and procedures, analyzing, interpreting, and applying those policies to complex organizational needs. Experience working with metrics and methods of continuous improvement, as well as establishing administrative systems and processes.
Education/Experience : Position requires a Bachelor's Degree and 5 years related experience; or, an equivalent combination of education and experience directly related to the occupation.
Desired Qualifications: Weapons Experience: Knowledge of the laboratory mission and how ALDW supports the mission and knowledge of Laboratory structure and administrative policies and procedures.
Clearance : Applicants must currently hold, or have the ability to obtain a Q clearance, which normally requires U.S. citizenship.
Document Control and Records Management Working knowledge and experience with document control and records management implementation and tracking. Ability to work with sensitive information and/or classified matter.

Additional Details
Directive 206.2 - Employment with Triad requires a favorable decision by NNSA indicating employee is suitable under NNSA Supplemental Directive 206.2. Please note that this requirement applies only to citizens of the United States. Foreign nationals are subject to a similar requirement under DOE Order 142.3A.
Clearance: Q (Position will be cleared to this level). Selected applicants will be subject to a background investigation conducted by or on behalf of the Federal Government, and must meet eligibility requirements* for access to classified matter. This position requires a Q clearance. and obtaining such clearance requires US Citizenship except in extremely rare circumstances. Dependent upon the position, additional authorization to access classified information may be required, which may or may not be available to dual citizens. Receipt of a Q clearance and additional access authorization ultimately is a decision of the Federal Government and not of Triad.
*Eligibility requirements: To obtain a clearance, an individual must be at least 18 years of age; U.S. citizenship is required except in very limited circumstances. See DOE Order 472.2 for additional information.
New-Employment Drug Test: The Laboratory requires successful applicants to complete a new-employment drug test and maintains a substance abuse policy that includes random drug testing. Although New Mexico and other states have legalized the use of marijuana, use and possession of marijuana remain illegal under federal law. A positive drug test for marijuana will result in termination of employment, even if the use was pre-offer.
Regular position: Term status Laboratory employees applying for regular-status positions are converted to regular status.
Internal Applicants: Regular appointment employees who have served the required period of continuous service in their current position are eligible to apply for posted jobs throughout the Laboratory.
