SUMMARY OF ASSIGNMENT Under general direction and supervision of the administrator, provides executive level secretarial support. Utilizes standard office practices and procedures to ensure a professional front office. Researches issues and provides recommendations for decision-making, including communications, engagement and marketing. Coordinates completion of special projects or department specific tasks.
ESSENTIAL FUNCTIONS - Serves as personal assistant and confidential secretary to the administrator. Composes and prepares correspondence, maintains files and records, sorts and distributes mail, distributes materials, maintains office supplies and equipment, schedules appointments, and maintains the administrator's calendar.
- Researches and provides input to and prepares department-specific information related to the marketing and community relations for the District. Takes notes at confidential and other meetings and accurately prepares finished correspondence as directed.
- Provides assistance in planning, organizing and implementing district events and projects (requires work beyond regular work hours on occasion).
- Assists with budget preparation. Researches data and makes recommendations for additions or changes. Monitors department budget expenditures and encumbrances; processes contracts, timesheets and coordinates changes and reconciles financial reports.
- Produces various reports as requested. Maintains and compiles data, district calendar of events, department contact lists, and generates and reconciles reports such as budget, purchasing, year-end, accreditation, and schedules.
- Serves as office receptionist. Answers incoming telephone calls and greets visitors; responds to questions or refers to the appropriate person for answer. Tracks requests to ensure an answer or information is received.
- Researches information for and coordinates completion of special projects for the administrator and with other District offices and outside agencies.
- Completes travel arrangements including transportation, hotel and itinerary.
- Ensures completion of department specific tasks as requested by the administrator.
- May supervise clerical staff based on department staffing needs.
- Provides related functions as assigned.

MINIMUM QUALIFICATIONS Education and Experience - High school diploma or equivalent and completion of an accredited secretary/administrative assistant course of study, or two (2) years of college.
- Four (4) years of secretarial work experience.
OR
- Any combination of six years of education and/or progressively responsible professional experience in an office environment that would indicate likely success as an administrative secretary.
Required Knowledge, Skills and Abilities - Ability to operate various office machines including personal computer, copier, calculator, and dictation equipment.
- Excellent ability to work with a diverse group of people from different viewpoints and backgrounds. Able to handle conflict and resolve differences with calm reason and creative thinking.
- Ability to take initiative, work independently, and effectively manage multiple projects with conflicting deadlines and/or priorities as well as work effectively within a team environment.
- Ability to work under pressure and maintain poise and diplomacy.
- Ability to establish and maintain effective working relationships with staff, students if applicable and the public.
- Ability to compose correspondence with correct spelling, punctuation, grammar, and English usage.
- Ability to maintain accurate files and records.
- Ability to maintain regular and punctual attendance.
- Ability to maintain confidentiality.
- Ability occasionally to work extended hours.
- Knowledge of standard office practices.
- Willingness and ability to learn functions of the department.
Certification and Licenses Desirable Qualification WORKING CONDITIONS Work is performed in an office environment. Required to travel to various schools and community sites, locations. Occasionally exposed to distraught, angry or hostile individuals. Must be able to use fingers, hands, and arms; listen carefully while filtering out normal office noise; see clearly; sit, stand, walk, twist, bend, reach, push, and pull with normal effort; lift 25 pounds. Prolonged exposure to video terminal display, as well as exposure to normal office equipment and their chemicals, such as copiers, fax machine, telephone, etc. Teamwork and high productivity requirements frequently create extra hours, attendance at meetings before and after work, and additional weekend work.

CONDITIONS OF EMPLOYMENT Employment with Clover Park School District is conditional pending completion of a Washington State Patrol and Federal Bureau of Investigation fingerprint background check as required by RCW28A.400.303. (NOTE: All associated background check fees are the employee's responsibility.) The fingerprint scan must be completed prior to the first day of employment.
