Position Type/Expected Hours of Work:
This is a full-time, Classified, CWA position, and hours of work and days are Monday through Friday, 8:30 a.m. to 4:30 pm. Occasional evening and weekend work may be required as job duties demand. Note: This position is in the "NL" category of employment (non-fixed work week) and have no claim or entitlement to time off or cash compensation for hours worked beyond their normal schedule. However, unusual requirements for additional work time by these employees may be compensated by allowing roughly comparable amounts of time off, provided prior approval is given by the supervisor and Unit Head.

The Coordinator of Student Affairs reports to the Vice President of Student Well-Being/Dean for Students and serves as a resource for students and personnel in the Student Well-Being Core. The Coordinator provides direct support to the VP/Dean for Students and performs advanced administrative duties. The Coordinator is responsible for handling private and sensitive information for both students and personnel. The Coordinator is responsible for overseeing reappointments and evaluations of staff, divisional project management, budget/purchasing, and logistical components of Interim Suspension, Disciplinary Appeals, and psychological student processes.
DUTIES :
Serve as an independent thinker and decision maker toward responding to student, personnel, and parent inquiries with an eye toward student success and support, resolving problems, and making correct and timely referrals to other units.
Schedule appointments with staff, students, parents, etc., to meet with the VP/Dean for Students at optimal intervals leaving time for the VP/Dean for Students to work on various assigned projects. Manage the VP/Dean for Student's calendar.
Act as the lead on all Interim Suspensions by communicating with students (and at times parents, attorneys and other third party individuals), schedule the hearing using the College's policy and procedure, independently prepare materials related to the Interim Suspension Hearing, disseminate the student outcome, and collaborate with other campus partners (such as Public Safety, Student Conduct, Counseling Services, and Residence Life as needed).
Provide lead administrative support on all Involuntary Leaves of Absence including collaboration with the Director of Health and Counseling Services to maintain a comprehensive list of all Involuntary Leave of Absences. Schedule the student's return to campus hearing with the VP/Dean for Students and manage all logistical components of the process.
Support the VP/Dean for Students in their role as an appeals officer.
Prepare and maintain all records, compile complex statistics and create narratives, and complete semester/annual reports. Most records will relate to Interim Suspensions, Appeals, and Involuntary Leaves of Absences.
Responsible for managing personnel reappointment and evaluation processes by being thoroughly familiar with the hiring, reappointment, and personnel evaluation systems. Ensure that the division's list of employees eligible for reappointment is accurate with the records in Employee Relations. Keep track of calendar steps which need to be completed by deadline dates by working directly with Unit Directors.
Follow up on student and parent questions and concerns in alignment with deadlines provided by the VP/Dean for Students.
Maintain appropriate forms, revising them annually.
Maintain working knowledge of all Federal, state, and College policies and procedures that are most likely to arise in supporting students such as the Student Handbook, FERPA, Title IX, Medical Leave of Absence, Incomplete Policy, We Care, and attend training as needed to remain current.
Distribute and maintain a record of incident reports to relevant offices daily and maintain a record.
Prepare case file reviews at the direction of VP/Dean for Students
Assist students in navigating College processes such as referrals to Leave of Absence, Medical Leave of Absence, and Course Withdrawal procedures.
Process and distribute all correspondence and educational materials as directed by the VP/Dean of Students (for example, all-student Broadcast Emails).
Design and develop business operations that make the work of the Student Well-Being Core and College more efficient.
Attend Student Well-Being Core Leadership Team Meetings and Core Meetings.
Set up meetings assigned with various offices and, when necessary, schedule meeting rooms through the Office of Events and Conferences and prepare agendas. Obtain agendas and materials for meetings that the VP/Dean of Students must attend. Make certain all materials needed for meetings, inclusive of catering, are prepared in advance and distributed as necessary.
Make hotel, airline, and ground transportation reservations and prepare Travel Authorization (when appropriate). When the VP/Dean for Students returns from the trip, prepare the Travel Voucher for reimbursement of expenses.
Perform all aspects of clerical duties and reception. Serve as a back up to the Assistant for Operations in the Office of Student Conduct. Ensure a friendly, clean, and welcoming environment in the VP/Dean for Students office.
Maintain all personnel, non-discipline, and other general office files (both paper and electronic versions) as necessary and appropriate. Comply with State and College's records retention policy.
