Purpose of Job The OC Floating Escrow Officer / Floating Dept Supervisor oversees the performance and activities of Escrow Officer Floaters while providing support to Escrow Officers, staff, and managers during their absence. This role manages and guides other Escrow Officer Floaters as well as performance of individual tasks as an Escrow Officer Floater. Responsible for scheduling, setting clear expectations, delegating tasks, monitoring performance, and providing constructive feedback to ensure operational efficiency and adherence to high-quality service standards.
Job Duties and Responsibilities (Essential Job Functions)
Escrow General Management
- Ensure compliance with the company's escrow processes and procedures, overseeing that all Escrow Officer Floaters adhere to proper protocols during the closing of escrow branch real estate and mortgage transactions.
- Safeguard all company and branch proprietary, sensitive and confidential information.
- Ability to analyze complex circumstances and reach sound decisions.
- Manage your own tasks while overseeing the work of others, requiring effective time management skills.
- Support the policies and procedures of the officer or manager whose desk you're covering.
- Respond to any customer inquiries in a timely, professional and courteous manner.
- Review contracts and prepare escrow instructions. Monitor the transaction, reviewing for completeness and compliance and ensuring all necessary information and documentation has been ordered and is accurate, i.e. payoff, HOA disclosures. Abstract documents, title reports, loan documentation, and other pertinent information and review for completeness and compliance.
- Facilitate closings, ensuring all documents and funds required to complete sales and loan transactions are properly prepared and executed.
- Conduct the closing including explanation of all related documents and closing costs.
- Ensure that title issues are resolved prior to closing.
- Prepare and submit closed loan package, deposits and disbursement documentation, recording package, and/or commission package to appropriate department or entities.
- Prepare Settlement Statements and other required miscellaneous documents.
- Enhance job knowledge and abilities by taking personal responsibility for professional development and training. Stay current with escrow laws and interpretations.
Perform any additional escrow-related responsibilities as requested or assigned.
Personnel Management - Supervise, mentor, and provide guidance to all Escrow Officer Floaters to ensure professional growth and effective performance.
- Address decision-making challenges, resolve conflicts, and handle performance management issues promptly and effectively.
- Conduct regular one-on-one meetings to review expectations, set goals, and address any concerns or areas for improvement.
- Deliver constructive feedback and actionable recommendations to support continuous performance improvement.
- Monitor Escrow Officer Floaters' performance for accuracy, compliance with escrow laws, and adherence to company procedures.
- Develop and oversee training programs, facilitate escrow-specific educational sessions, and provide ongoing development opportunities for staff.
- Coach employees, document performance concerns, and manage improvement plans to ensure accountability and progress.
- Conduct annual performance evaluations and provide salary adjustment recommendations.
- Track and manage staff PTO (scheduled and unscheduled) and monitor overall attendance to ensure staffing needs are met.

Qualifications Education:
- 4-year degree in business administration or related field; or equivalent work experience and knowledge.
Experience:
- 5+ years' experience as an Escrow Officer.
- 2+ years' supervisory experience.
Knowledge and Skills:
- Strong computer skills; proficient in Microsoft Office products, including Outlook, Word and Excel.
- Superior communication skills, both verbal and written, including presentation skills.
- Effective interpersonal skills and leadership abilities with a strong customer-service focus.
- Ability to work as a member in a team-oriented environment.
- Project management skills: ability to prioritize and handle multiple tasks and projects concurrently under deadline pressure with the ability to occasionally work extra hours during peak times of the month.
- High degree of integrity, self-motivated, organized, detail oriented with a strong aptitude for figures.
- Effective analytical, problem-solving and decision-making skills; initiative and attention to detail.
- Flexibility to adapt to different work environments and procedures in different office locations.
Other (licenses, certifications, schedule flexibility/OT, travel, etc.):
- Position will require approval from the Department of Financial Protection and Innovation (DFPI) and EAFC (Escrow Agents Fidelity Corporation).
- Must possess and maintain valid driver's license and vehicle insurance.
- Must have access to a reliable vehicle and ability to travel daily through assigned territory on a scheduled or unscheduled basis.
Wage: $92,000.00 - $96,000.00 annually; actual wage is based upon education and experience. Potential for formulary incentive plan/annual discretionary bonus, based on financial results.
