Position Summary The Philanthropic Partnerships Associate is an individual contributor role supporting key functional areas related to institutional fundraising on the Community Impact team. Provides high level administrative support and leads areas of work including grant writing that promote departmental fundraising priorities. Prepares internal reporting and analysis to facilitate fundraising. Provides technical assistance and support to fundraising staff and internal teams engaged in fundraising.
The Philanthropic Partnerships Associate is part of a diverse, multi-disciplinary team, whose objective is to secure funding from institutional partners, primarily foundation and corporate donors.
Boundaries Reporting to the Senior Officer for Philanthropic Partnerships and working closely with program directors and initiative officers, this position supports fundraising and development work to increase the scale of funding for our work and to enhance and strengthen the position of San Francisco Foundation in the region. By managing many of the technical and administrative processes related to our foundation and corporate fundraising, working with lead staff to track data about funder relationships, and providing prospect research, proposal and report writing, and editing support, this position will support fundraising for the Foundation's racial and economic equity agenda.
Authority They will work independently, with guidance, and collectively on a team within the Community Impact Department to advance the Foundation's fundraising priorities by facilitating internal communication and coordination. This role also collaborates closely with our IT, Grants Administration, Philanthropy and Gift Planning Operations, and Finance teams throughout the pre- and post-grant award process to ensure that grants are processed effectively. The Philanthropic Partnership Associate will also represent institutional fundraising priorities on cross-departmental teams as needed to facilitate fundraising success.
Role Support a strong, multi-faceted fundraising plan to support SFF's equity agenda and organizational goals.
- Manages scheduling and tracking action items for ongoing internal working groups related to institutional fundraising.
- Conducts prospect research and assists with strategy development.
- Leads or assists with grant proposal and report writing and/or editing.
- Supports fundraising processes in Salesforce and other systems as needed.
- Leads creation of marketing collateral for institutional fundraising.
- Maintains and enhances documentation of internal fundraising processes.
- Participates in cross-departmental teams and working groups as needed to facilitate institutional fundraising success.
Tasks Administrative Support
- Schedules meetings with internal and external partners
- Creates and distributes meeting agendas and other required meeting materials such as slide decks and reports.
- Drafts and disseminates minutes from meetings.
- Organizes internal filesharing platforms and ensures that shared documents are easily accessible.
- Coordinates internal communication to ensure that all fundraising staff are up to date on best practices and resources.
Fundraising Support
- Conducts prospect research using online databases, draft summaries, and makes recommendations regarding funding prospects.
- Assists with creation, tracking, and management of fundraising opportunities and related documents in Salesforce.
- Creates and manages fundraising reports.
- Leads or assists with writing grant proposals and reports and formatting simple grant budgets as needed.
- Updates documentation of fundraising processes and communicates with fundraising staff.
- Leads writing, editing, and design of fundraising collateral for institutional funders in collaboration with Senior Officer of Philanthropic Partnerships.
Technical Support
- Trains and supports fundraising staff on Salesforce.
- Drafts proposals of new processes or improvements to existing processes to meet institutional fundraising needs.
- Acts as internal liaison with other Foundation departments e.g., Finance, Marketing and Communications, Grants Administration, IT, and Philanthropic Giving, to ensure that institutional fundraising processes are incorporated into foundation-wide priorities.
Competencies & Qualifications - 2+ years of experience in administrative support
- Basic knowledge of funder development prospect research methods and tools
- Superb writing and editing skills with proven ability to translate program initiatives and impact into strong solicitation letters, proposals, and reports for various audiences.
- Understanding of best practices in grant writing and reporting - familiarity with local business and foundation community a plus.
- Demonstrated ability to work well in a team setting and collaborate across departments and functional teams that represent a richly diverse mix of talent, backgrounds, and perspectives, as well as the ability to work independently with clear roles and deliverables.
- Capacity to work in a multiracial and multicultural environment, including competency in working with individuals and groups of diverse racial and socio-economic backgrounds.
- Strong active listening, excellent oral and written communication skills, the ability to plan, and facilitate meetings.
- Excellent attention to detail and quality control on all documents produced and administrative work undertaken.
- Ability to manage multiple demands and deadlines from multiple sources, including excellent time management and organizational skills, with strong detail orientation and follow-through.

- Manage complex calendars and resolve scheduling conflicts with limited or no consultation.
- Coordinate internal and external meetings which include setting agendas, preparing and disseminating meeting materials, and tracking post-meeting action items.
- Create comprehensive and professional PowerPoint and other multi-media collateral material as needed for internal and external audiences.
- Intermediate to advanced computer/software skills, including Microsoft 365 (Outlook, Word, PowerPoint, Excel, & Teams), Smartsheet, and Zoom.
- Ability to learn, navigate and manage online platforms, including Fluxx, Qliksense strongly preferred.
- Demonstrated proficiency in basic Salesforce tasks such as creating reports and event campaigns required.
- Salesforce Associate or Administrator Certification preferred.
- Experience using grant portals to apply for funding opportunities preferred.
