Title: Executive Assistant and Office Manager, Full Time The Office Manager and Executive Assistant will work closely with the Global Head of Executive and Office Management to oversee the daily administrative and operational functions of the American offices. They will provide support, manage all office systems and services, develop and improve processes to enhance office efficiency, and handle office policies and communications. Additionally, they will partner with executives to manage their business affairs, ensure the smooth progress of their projects, and maintain effective communication. The ideal candidate must be a self-starter who is results-driven, exercises good judgment, and possesses excellent communication skills, attention to detail, and time management abilities-crucial for supporting this team. Furthermore, the candidate should be capable of managing multiple projects, handling a heavy workload with high accuracy, and maintaining professionalism when interfacing with other high-profile customers as necessary. This position reports to the Global Head of Executive and Office Management and can only be based in Herndon, VA. There is flexibility to work 1 day per week remote based on office activities.
Primary Responsibilities - Manage Office Headquarters (Herndon, VA) onsite and Denver Office remotely with quarterly travel
- Maintain office appearance and make improvements as needed
- Coordinate office schedules, arrange meetings, and organize catering
- Streamline office processes as headcount increases
- Oversee office budgets
- Reconcile office and executive expenses, budgeting, and vendor management, negotiating contracts, and cultivating vendor relationships
- Manage office systems and services, negotiate corporate rates and service contracts as required
- Provide executive support to the CFO, including a variety of complex, confidential, and critical administrative and organizational tasks, in addition to backing up for the Global Head of Executive Office Management.
- Calendar management
- Complex domestic and international travel arrangements, including visa and international documentation support
- Meeting preparation, including coordination and logistics of both internal and external meetings, offsite conferences, and external events, including catering and transport
- Assist the legal department in capturing signatures and additional confidential information as needed
- Special projects, including doing research, creating reports, managing data in spreadsheets, keeping records and confidential information current and secure
- Manage the Executive and Office Management Department's intranet site
- Plan and coordinate internal events
- Organize and support small and large meetings as well as conference set-up
- Partner with Marketing on more significant events as needed
- Implement office policies
- Find and implement global service providers for offices
- Partner with HR as needed
- Employee relations
- Acting as a liaison between the employees and upper management
- Assist with employee onboarding and offboarding
- Assist in hiring, training, and managing local administrative staff
- Coordinate employee relation outreach through welcome packages, life event care packages, and additional items
- Maintain accurate inventories of marketing-related materials and products, including ordering new supplies

Experience/Education - 10+ years of professional experience with a focus on office management and executive assistance
- 2+ years experience in office management responsibilities, with a focus on developing and enhancing systems and procedures
- 1+ years experience in supporting C-Suite, including calendar management, travel booking, and meeting support
- Track record of using Microsoft Office to document, report, and present information valuable to leadership
- Bachelor's Degree in Operations, Finance, or related degree
- Those with experience in the Data Center industry, Construction, or Real Estate environments are highly encouraged to apply
US Salary Range
$80,000-$90,000 USD
