Position Overview We are seeking a highly skilled and experienced Executive Personal Assistant to provide comprehensive support to a dynamic tech entrepreneur based in Palo Alto. The ideal candidate will be an established professional with a proven history of serving prominent Silicon Valley executives-preferably in the startup space-and will possess deep local connections and knowledge of the region.
The primary mission of this role is to make the principal's life easier by managing a wide range of personal and professional tasks, ensuring seamless operations across both spheres. While much of the work can be done remotely, the role will require in-person support for errands, shopping, and household/vendor coordination.
Bilingual Mandarin Chinese/English proficiency is a plus, but not required.
Key Responsibilities - Calendar & Scheduling
- Manage complex calendars, coordinating appointments, meetings, and travel itineraries.
- Oversee daily schedules to ensure the smooth flow of commitments.
- Travel Coordination
- Research and book travel arrangements (domestic and international).
- Handle all associated logistics and itineraries.
- Personal Support
- Run errands, shop for household items, order food, and manage personal purchases.
- Assist with the client's possible move to a new Peninsula residence.
- Stock household supplies and maintain an organized home environment.
- Administrative & Project Management
- Manage email communications, reminders, and follow-ups.
- Track expenses and manage budgets.
- Purchase and manage gifts for personal and professional contacts.
- Edit and format documents-strong writing skills are essential.
- Conduct research and oversee projects from inception to completion.
- Vendor & Event Oversight
- Source, manage, and coordinate vendors and service providers.
- Oversee event planning for personal gatherings and philanthropic engagements.
Qualifications - Minimum 5 years in a high-level executive support role, ideally for prominent Silicon Valley or startup executives.
- Bachelor's degree from an accredited institution.
- Proven longevity and strong references from past employers.
- Exceptional organizational skills and meticulous attention to detail.
- Highly polished and professional presentation.
- Proactive, resourceful, and able to anticipate needs.
- Excellent written and verbal communication skills.
- Proficient in Google Workspace, Microsoft Office, Adobe, and related tools.
- Comfortable working with a respectful yet direct communicator.
- Calm, discreet, and trustworthy under all circumstances.
- Valid U.S. driver's license and reliable transportation.
- Proof of U.S. work authorization.
- Willingness to travel occasionally.
- 24/7 availability mindset when needed.
Compensation & Benefits - Salary: $150,000 or higher | DOE
