Position Summary We are seeking a highly skilled and proactive
Executive Administrative Assistant to support our President and CEO as well as the C-suite team, Board of Directors and Shareholder management. This position requires exceptional organizational skills, strong follow-through, and the ability to anticipate the needs of diverse stakeholders. The ideal candidate will thrive in a fast-paced environment, handling a variety of tasks with precision and professionalism, while maintaining confidentiality and discretion.
Essential Duties and Responsibilities - Primary assistant to the President and Group CEO, includes calendar management, meeting planning, special projects and other responsibilities
- Coliaborate closely with other senior leaders and other executive assistants to align priorities, and enhance overall executive team effectiveness
- Act as primary contact for internal and external communications on behalf of C-Suite Executives. Draft, prepare proofread, edit emails, reports, and presentations.
- Primary point of contact for guests and visitors, ensuring they are greeted with professionalism and warmth
- Organize complex domestic and international travel, including flights, accommodations, and ground transportation
- Manage scheduling and logistics to support the Board meetings, including hotels and transportation, catering, and manage Director administrative tasks as needed. Prepare all materials and handle sensitive and confidential information with utmost discretion.
- Manage project and tasks for C-Suite including researching and compiling data for executive presentations and reports.
- Act as primary point of contact and corporate liaison for all shareholder needs, field any and all inquiries and determine appropriate coordination to address questions
- Various other support tasks as requested/required
Qualifications Required: - Experience:
- Minimum of 5 years supporting senior executives, preferably in a C-suite environment.
- Proven track record of handling complex administrative responsibilities in a diverse organization.
- Skills and Attributes:
- Exceptional organizational and multitasking abilities.
- Strong attention to detail and commitment to follow-through.
- High level of professionalism and discretion in handling sensitive information.
- Ability to anticipate needs and proactively address them.
- Excellent verbal and written communication skills.
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with collaboration tools (e.g., Slack, Zoom, Teams).
- Education:
- Bachelor's degree is preferred, or equivalent combination of education and experience.

- This role requires the ability to see, hear, speak, and communicate clearly. Manual dexterity is needed for operating standard office equipment. The position may occasionally involve lifting items up to 10 pounds and may require occasional travel.
- Work Environment:
- Work is typically performed in a clean, well-lit, and climate-controlled office environment with low to moderate noise levels. Occasional visits to field locations may be required.
