Temporary Education Programs Coordinator Department: Education Department Supervised By: Director of Education Supervises: N/A FLSA Status: Non-Exempt Duration: September 1 through December 31, 2025, with possible extension Part-Time: 12-15 hours per week The Temporary Education Program Coordinator supports The Wallis’ education initiatives by providing administrative, data management, and event support for school and youth partnership programs. This position plays a key role in ensuring smooth communication with schools and educators, accurate record-keeping, and successful execution of student matinee performances. REQUIREMENTS Previous experience in arts administration, education, event coordination, or related field preferred; Strong organizational skills and attention to detail; Excellent written and verbal communication skills; Ability to manage multiple tasks and meet deadlines; Proficiency with Microsoft Office Suite (Excel, Word, Outlook) and/or Google Workspace and Canva; Comfortable working with educators, students, and community members in a professional and welcoming manner; Ability to work in a fast-paced environment and problem-solve in real time; Flexibility to work occasional early mornings for matinee performances; Prior experience in the arts and/or youth education environment is preferred; A passion and advocacy of the arts is necessary to effectively execute this role. KEY RESPONSIBILITIES Administrative Support Monitor and manage the education department email inbox; respond to inquiries and forward as appropriate. Compile, organize, and maintain data on school and youth partnership programs for the season. Assist in gathering and organizing information for targeted outreach to schools, administrators, and teachers; make initial outreach contacts as directed. Prepare, issue, and track invoices; maintain accurate records of payments and prepare receipts. Matinee Performance Preparation & Support Prepare logistical paperwork for each matinee performance, including: Operations spreadsheet for Front of House and staff use; School check-in sheets; Bus signs for arriving groups; End-of-show tallies and reporting. Provide on-site support during student matinee days, including: Greeting and checking in school groups; Coordinating bus arrivals and signage; Assisting with wayfinding for students and teachers inside the facility; Supporting storage and distribution of student lunches. Other Duties Collaborate with Education and Front of House teams to ensure smooth execution of programs; Maintain accurate records and documentation of education events and activities; Support additional administrative or program-related tasks as assig COMPENSATION This role is temporary and does not exceed 15 hours per week, so the pay rate for this role is $25/hr. This role is not eligible for company-provided medical, health and vision benefits. This role is not eligible for paid holidays and does not accrue paid time off. Parking vouchers will be provided for Wallis staff for days worked on-site. ESSENTIAL FUNCTIONS This position requires continual use of computers, including use of sight and dexterity of fingers and hands to operate software and hardware systems; This position requires continual use of telephones, including use of hearing and speaking; This position requires continual sitting for extended periods; This position requires frequent walking and standing, to serve as a guide leading groups through the building facility; This position requires frequent bending and reaching for filing and other job-related functions, frequent climbing up and down stairs; occasional bending, stooping, and lifting to move and retrieve materials. This position requires occasional lifting of items up to 15 lbs., but does not require any heavy lifting. Specific visual abilities include close vision, color vision, depth perception, and the ability to adjust focus.
