As a US-based warranty provider, we provide expertise in safety and homecare to our customers. Our integrated solutions meet customer needs both inside and outside the home. Inside the home we protect critical aspects of home function such as plumbing, heating and cooling, appliances, power surges, hot water heater, and interior electrical. Outside the home we provide protection for critical lines (water, gas, wells, sewers, electric and septic). We primarily go to market B2B2C, partnering mostly with water/gas/electric utilities and municipalities to offer our product leveraging their brand for marketing and often adding our subscription fee to the water/gas/electric bill itself. Position Summary
We are looking for an Executive Assistant to support ~ 4 members of the executive team in a fast-paced, exciting, and growing organization. In collaboration with a team of Executive Assistants, this person will be responsible for handling confidential information and maintaining professionalism in dealing with senior executives and other external customers, partners, and shareholders.
This Hybrid role is based in our Naperville, IL office. Our office environment is a key driver of our company culture and employee experience, so a regular in-office hybrid model (generally T-TH in office). M and F may occasionally be needed for business purposes.
Responsibilities include but are not limited to:

Manage Business Development (BD) conference and tradeshow registration and logistics.
Logistics liaison for the OHS Advisory Board.
Managing complex calendars, planning and organizing events for both the executive team and external partners.
Manage, coordinate, and arrange travel and travel-related activities, including hotel booking, transportation, and meal coordination.
Preparing detailed travel and expense reports, reconcile corporate card accounts, and follow through/follow-up on report.
Build a positive team environment and establish working relationships with other Executive Assistants to ensure a cohesive work group, providing coverage to others as needed.
Coordinate and manage projects and tasks, as well as compile, analyze, and interpret data as needed, and create impactful presentations (PowerPoint) on an as-needed basis.
Maintain a high degree of professionalism and strict confidentiality with all materials and exercise the utmost discretion when interfacing with the business and all employees.
Coordinate events, logistics, and programs for the occasions such as but not limited to team all staffs, training classes, monthly all staff meetings, and other in person/on property team events and celebrations as needed.
Greet and welcome visitors and guests offering polite, professional customer service while they while determining what level of support they need as a guest at any OHS location/event.

Experience and Qualifications of the Role

Minimum 5 years (ideally 5-7) executive level administrative support experience, with no less than 2 years at the C-level.
Exceptional written and oral communication skills.
Experience overseeing budgets and expenses along with strong time-management skills and the ability to organize and coordinate multiple projects at once with a keen attention to detail.
Proficiency in Microsoft Office and other office productivity tools, with aptitude to learn new software and systems if implemented.
Ability to keep company confidences.
Demonstrated commitment to valuing diversity and contributing to an inclusive working and learning environment.
Self-starter who needs minimal supervision, exercises good judgement, basic reasoning skills and has ability to multi-task.
Great work ethic, willing to go the extra mile to get the job done with a positive, can-do attitude.
Proven ability to manage competing priorities with ease, keeping a calm, cool, and professional demeanor.
Prior history of working handling private and sensitive information while maintaining full confidentiality.
Knows the importance of being accessible when needed.
Strong time management skills with a track record of meeting deadlines.
Solid proactivity and self-direction.

Prior exposure to board preparation and support a plus.

Computer Skills Needed to Perform this Job

We offer a compelling total rewards package that includes a competitive base salary and comprehensive benefits to support your total wellbeing. The base pay range for this position is $62,000 - $125,000 USD Annual. The specific pay offered will depend on qualifications, experience, education and skill set. The compensation offered may also include an annual performance-based bonus, sales incentive plan or commission target.
