Hiring Range: $72,850.00.00 - $109,330.00 annually
This position has an anticipated work schedule of Monday - Friday, 8:00am - 5:00pm; subject to change.

Manages and organizes administrative support and workflow for Executive Leadership; provides complex and confidential administrative support. Manages administrative support staff; coordinates Executive Leadership activities related to schedules and administrative support for the Executive Leadership. Oversees tasks and projects, prepares meeting summaries, and relays direction from leadership to employees, other departments, and other agencies. Serves as a point of contact for County staff, external agencies, and the public. Employment is subject to the terms, conditions, and policies detailed in the Personnel Policies Manual (PPM). This position requires regular in-person presence as an essential job function.
Essential Duties/Responsibilities

Manages and organizes administrative support and workflow for Executive Leadership; implements and maintains office operations, making changes as necessary to expedite workflow. Responsible for updating and organizing policies and procedures; communicates enhancements and policy and procedure updates with appropriate staff.
Performs a variety of complex and confidential administrative duties in support of Executive Leadership, including organizing, scheduling, and facilitating meetings. Ensures the administrative portions of the Executive Leadership's work is accomplished.
Assesses the urgency and importance of tasks, takes appropriate action, and recommends solutions. Conducts research as needed; identifies and evaluates current needs and assembles materials as needed.
Ensures, in the absence of Executive Leadership, requests for action and information are furnished to leadership and/or other departments in a timely manner. Identifies and troubleshoots problems; recommends and implements solutions.
Manages administrative staff who are responsible for support operations, including coordination of conference rooms, customer and administrative support, and maintenance and accuracy of applicable information. Conducts performance evaluations and motivates employees to achieve peak productivity and performance; participates in the hiring and disciplinary processes.
Performs research, edits, and prepares drafts of correspondence, high-level reports, agendas, and minutes; assembles packets of information as needed. Coordinates daily schedules and travel arrangements for Executive Leadership; provides necessary support materials and information as requested.
Provides technical and administrative support necessary for facilitating meetings, projects, and programs for Executive Leadership.
Works closely with stakeholders on assigned projects; ensures tasks are completed in a timely and accurate manner. Tracks, monitors, and generates reports for various projects and training.
Maintains continuing access to the Executive Leadership as needed; serves as a liaison between Executive Leadership and staff, clients, and the public. Attends various meetings with or on behalf of Executive Leadership.
Serves as liaison to County Administration to meet requests and deadlines. Assists in scheduling and approving workflow items.
Compiles and analyzes data from respective divisions; prepares and disseminates reports as appropriate. Responsible for providing access to confidential data; facilitates audits as needed.
As directed, responsible for distributing and recording petty cash; performs routine audits.
Performs other duties as required.

Supervision Exercised: This classification requires supervising and monitoring performance for a regular group of employees or unit(s) including providing input on hiring/disciplinary action and work objectives/ effectiveness, performance evaluations, and realigning work as needed. A first-line or second-line supervisor typically performs these tasks.
Supervision Received: Receives administrative supervision. This classification typically performs job duties and resolves conflict according to their own judgment and initiatives, requesting supervisory assistance only when necessary. Special projects are managed with little oversight, and assignments may be reviewed upon completion. Performance reviewed periodically.
Qualifications
Knowledge, Skills & Abilities

Knowledge of executive administrative support best practices and procedures.
Must possess excellent customer service, organizational, planning, and administrative skills. Ability to efficiently plan, schedule, and organize.
Ability to work independently and with minimal supervision; ability to assess situations and make prudent and appropriate decisions.
Ability to exercise discretion, handle sensitive information, and maintain a high level of confidentiality.
Ability to demonstrate sound judgment by taking appropriate action regarding questionable findings or concerns.
Ability to effectively train, supervise, and objectively evaluate the performance of others.
Ability to use conflict resolution and problem-solving skills.
Ability to communicate effectively both verbally and in writing, ensuring proper grammar, spelling, and punctuation with strong attention to detail. Ability to prepare, proofread, and revise documents in a professional format with minimal direction.
Ability to work effectively with coworkers, County staff, clients, external agencies, the media, and the public. Ability to provide excellent customer service.
Ability to use standard office equipment including computer software programs, fax machine, copier, and telephone. Proficiency in Microsoft Office Suite and other software and databases.
Maintain regular and punctual attendance.

Required Education & Experience

High school diploma or equivalent education.
Five years of administrative support or office management experience; three years of the required experience must be at the executive level.
Two years of supervisory or demonstrated leadership experience.

Preferred Education & Experience

Associate's degree or higher in business or a related field.

Licenses/Certificates

Must possess and maintain a valid driver's license.
Notary Public Commission preferred.

Pre-Employment Requirements

Must pass conditional post offer background investigation, motor vehicle record check, and drug screen.

Work Conditions
Duties are primarily performed in a high-volume office and remote work environment dependent on business needs; some travel local and non-local may be required. May require weekend and evening hours.
